PetroSuites is the public name for First H&H Holding.  We serve the needs of entrepreneurs and companies by providing a turnkey office solution in multiple locations throughout Midland.  Our goal is to take the burden out of maintaining an office space so they can focus their resources in other areas of their business so that individuals and companies can thrive.

Administrative Executive Assistant

We are looking for an individual to fill a servant leadership role within our companies and whose main responsibility is to increase the capacity and effectiveness of the President of the company.  The Ideal candidate has a servant’s heart, loves people, is hungry, humble, and people smart, is not easily offended, and listens to understand. 

Minimum Knowledge, Skills, and Abilities Required

·       High School Diploma or equivalent

·       History of serving in some capacity a plus.

·       Time management and ability to meet deadlines

·       Written and verbal communication sills

·       Strong organization skill and ability to multitask

·       Problem-solving and decision making

·       Proactive and self-directed

·       Interpersonal Skills

·       Skilled in use of Microsoft Office applications.

·       Fluently speak, read, and write English.

·       Skilled in time management.

·       Skilled in multi-tasking.

·       Ability to manage stress.

·       Resourceful in acquiring goods and services.

·       Ability to meet physical demands of the job which include, but are not limited to: walking, bending, pushing, pulling, lifting, transporting supplies or equipment, sitting for extended periods of time at a desk using a computer, and occasionally lifting and carrying items which may weigh up to 25 pounds.

·       Position spends approximately 90% of time sitting at a desk and 10% standing or walking.

·       Vision and hearing must be within or correctable to within normal range.

·       Must work from the corporate office and be able to work on time on a regular basis during regular business hours.

·       While performing the duties of this job, the Team Member is exposed to computers and general office equipment at various times. The noise level in the work environment is usually quiet.

 

Duties and Responsibilities

·       Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf

·       Maintaining comprehensive and accurate records

·       Performing minor accounting duties

·       Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary

·       Answering phone calls in a polite and professional manner

·       Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department

·       Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters

·       Stocking Breakroom

·       Assisting H&J consultants with administrative task.

·       Assisting PetroSuites members in the member space.

·       Responsible for General upkeep of PetroSuites member space.

·       Demonstrates independent thinking and initiative on a consistent and regular basis.

·       Exercises discretion and independent judgment on significant matters including coaching, pay changes and investigations.

·       Provides guidance to Team when needed or directs them to the appropriate personnel.

·       Performs in a manner consistent with company Core Values and Purpose.

·       Attends all scheduled meetings, missing no more than 10% annually.

·       Manages any stress on the job, including but not limited to meeting deadlines.

·       Maintains strictest confidentiality.

·       Provides excellent customer service, for both internal and external customers.

·       Actively always demonstrates teamwork.

·       Follows policies and procedures such that there are no verbal or written warnings during the evaluation period.

·       Performs all other duties as required.
